About the Team
The Academic Operations team runs the operational ground game that keeps faculty, programs, and academic systems moving smoothly. The team focuses on execution, data accuracy, and cross-functional coordination to ensure reliability at scale.

About the Role
We’re hiring an Academic Operations Associate to support day-to-day academic operations with a focus on faculty support, data integrity, and workflow execution.

You’ll own critical operational workflows—ensuring processes are followed, systems are accurate, and faculty have what they need to succeed.

This is a high-volume, detail-driven role with clear growth into more senior operations ownership over time.

Data Integrity & Tracking

  • Maintain accurate records for faculty onboarding, course assignments, and scheduling updates

  • Monitor systems to ensure data accuracy and completeness

  • Proactively identify and resolve discrepancies before they impact scheduling, payroll, or faculty experience

Process & Workflow Execution

  • Execute defined academic operations workflows consistently and on time

  • Track and manage incoming requests (program changes, faculty updates, platform needs)

  • Ensure requests are logged, monitored, and resolved according to SLAs

  • Prepare documentation for audits, accreditation, and internal reviews

Platform & Program Support

  • Serve as an internal expert on Campuswire (our LMS)

  • Support course setup, faculty assignments, new faculty training, and term rollovers

  • Coordinate curriculum alignment projects across NY online and Sacramento campuses

  • Validate program configurations against approved academic plans and test updates before term launch

Faculty Support & Issue Resolution

  • Serve as first-line support for faculty operational questions

  • Triage and resolve common onboarding, access, scheduling, and platform issues

  • Escalate complex matters with clear documentation

  • Communicate deadlines, updates, and expectations clearly and consistently

Continuous Improvement Support

  • Identify recurring issues and surface process improvement opportunities

  • Help document and refine workflows and playbooks

  • Support implementation of new tools, systems, and operational initiatives

Required:

  • 2–4 years of experience in operations, program management, or academic administration

  • Bachelor’s degree

  • Strong comfort working with structured data

  • Clear written communication and sound professional judgment

Nice to have:

  • Experience working with an LMS (e.g., Campuswire)

  • Experience supporting multi-campus or multi-program academic operations

  • Exposure to accreditation or academic compliance documentation

What you’ll get:

  • A compensation package that includes a base salary ($60,000 - $75,000) + equity grant

  • Actual compensation within the pay range will be decided based on factors including, but not limited to, skills, prior relevant experience, and specific work location. For roles that are available to be filled remotely, base salary will be localized.
